Genesys also publishes a developer blueprint, listed on AppFoundry, for integrating work automation with HubSpot. Many organisations combine a connector with data actions.

Getting contact matching and logging right

Contact matching is where a HubSpot integration earns or loses trust. Phone numbers are stored in many formats, email addresses change, and a single company can have dozens of contacts sharing a switchboard number. We define how identifiers are normalised, which properties are searched, and what the agent and the flow should do when there are no matches or several. Our design also covers how new contacts are handled: whether the contact centre may create them, which properties are mandatory, and how duplicates are avoided so that marketing lists and sales pipelines stay accurate after go-live.

Logging needs similar discipline. HubSpot records calls as call engagements: each one carries a timestamp that places it on the record timeline, a body for notes, a direction and a disposition, and can be associated with contacts, companies and other records. Deciding what each entry contains, which records it is associated with and how wrap-up codes translate into meaningful dispositions takes careful thought. QVCCS agrees a logging model with your CRM owners, builds it into data actions or connector configuration, and tests it with realistic data. We also plan for HubSpot API usage limits, OAuth token refresh and error handling, so a busy Monday morning never leaves conversations unlogged or routing decisions waiting.

Who builds it, and the decisions it needs

A HubSpot integration touches marketing, sales and service, so the team we draw from our own bench is set up to work with all three. Our Systems Integration Tester works with test contacts that mirror your real data, including shared switchboard numbers and duplicates, then forces expired tokens, rate-limit responses, empty searches and slow replies to prove each fallback before agents run UAT.

Several decisions belong to the business rather than the technology. Who owns each HubSpot property, and may the contact centre change it, or only add notes? Marketing consent and communication preferences must never be overwritten by a service conversation, so we agree which fields are read-only for agents. Sales and service may both want the same caller: a prospect with an open deal and a customer with a complaint can be the same person, so routing priorities are agreed in advance. Deal values and pipeline details may not be appropriate for every agent to see, so visibility is designed with permissions in mind. And logged calls should be associated with the records people actually use, so a sales owner sees service history where they expect to find it.
